Smartphone, Desktop or Tablet? Where do you Check Your Work Emails?

If you prefer to check your work emails on your desktop computer and your personal emails on your smartphone, then you fall right into the trend behavior of how most people prefer to check their inboxes. There is a recent EMEA report by Adobe on the email use of 3,000 professionals in Germany, France and the UK. This investigation found that emails remain one of the preferred ways to communicate in the work place, along with phone calls and face-to-face communication. Most respondents stated that they think their use of work and personal email use will remain the same over the next two years.


Conclusion #1:

Good news! The good old email is still one of the preferred ways to communicate, both for work and personal related matters. Emails are not going anywhere which we also concluded two years ago. So you can communicate all you like on various other platforms, such as social media and intranet. But remember that the email is the best and most direct way to convey an important message. Smartphone is preferred device for younger employees



The majority (68%) of the survey’s participants preferred to check their work email on the desktop/laptop computer. However, the age group 18-34 year olds preferred to check their work emails on their smartphone. When it comes to checking personal emails, the preferred device was smartphones. This was especially true for females and 18-34 year olds. The emails read on tablets are generally declining (21% of emails read on tablets), and emails read on smartwatches only count 2%.


Conclusion #2:

Be 100% certain that your emails are optimized for all types of mobile devices! That includes your email signature, of course. Check how it looks on several devices to make sure your company logo looks good for all readers. Check also that contact details are easy to read. And if you use the space underneath the contact details for marketing or as a messaging platform for news, awards etc., (which of course you should!) make sure that this is optimized for mobile screens too!


Your business email is a trusted source!

The report also found that 80% of all work emails are opened, and of these, 80% of work emails are actually read. Think of all the emails your company sends out every day on different devices. Most will be read by the receiver because your company is a trusted source, your employees have a relation to the recipient or because you have an interesting, targeted message to convey. Let it stay that way!


Conclusion #3:

Send an email when it’s the best choice of communication. Don’t spam people’s inbox with irrelevances or cc’s that are not needed. And don’t use the email to hide behind. Grab the phone or take a face-to-face chat if the situation will benefit from it. That way, the quality of emails increases and makes the reader more likely to open more emails. This is because they, ideally, are important and targeted at the right recipient. Your email signatures can reflect this too, because you can include specific, targeted information based on your recipient’s interests, geographical location etc.

Less time spent checking emails

The report also states that the respondents spent less time checking their emails than in 2016. 47% of respondents said they spend an hour or less a day on checking their work email, and 63% stated that they spend an hour or less a day on checking their personal email.

Conclusion #4:

When people spend less time checking their emails, you want to make sure that your email is clear, targeted, attractive to open – and not too long. So be sure your emails don’t go the spam filter (and thus will never be read). Having a poor design and/or heavy length scares off the reader.
